Which projects does this service suit?

Suitable if …

  • Your team repeatedly transfers the same details between applications.

Not suitable if …

  • No defined process exists and nobody can state authoritative rules.
  • You need a finished integration immediately or organisation-wide process restructuring.
What this covers

What can usefully be automated in our everyday work?

A new enquiry arrives in the inbox. Someone copies contact details into the CRM, creates a project folder and writes a task for the responsible person. These handovers show potential starting points for automation. We record the actual work and where human decisions are needed.

The assessment examines an existing process, including rare cases: missing details, two enquiries from one person or a temporarily unavailable destination. The brief shows whether automation is possible and which prerequisites are missing. You then decide whether to commission implementation.

The process determines the tool

n8n, Zapier and Make connect applications and execute agreed steps. Suitability depends on available APIs, required rules and your operations. An existing connector does not establish support for the intended action. We check this before recommending.

For economic assessment, we separate working time, expenses actually eliminated and new recurring costs. Less data copying initially creates available capacity. Whether this reduces spending depends on your operation. Case volumes and time assumptions are therefore visible in the result.

Does this sound familiar?

Too many handovers

The same contact details are copied again from a form, email and spreadsheet. We check which record should be the source and which handovers could disappear.

A tool has already been selected

You want to use n8n or Zapier but lack a defined task. We translate the intended process into rules and first check required actions.

The benefit is still unclear

A process is annoying but may occur rarely. We compare frequency and processing effort with setup and operating costs instead of treating every routine as an automation project.

How we approach it.

  1. Record the working process

Using your written description and anonymised examples, we map triggers, systems and handovers. Open rules are clarified with the identified responsible person.

  2. Check exceptions and prerequisites

We consider data quality, available integrations and manual decisions. Credentials are not needed in the enquiry form for this initial assessment.

  3. Define implementation scope

You receive up to three proposals with prerequisites and cost assumptions. The preferred proposal describes a sufficiently small initial task with a verifiable outcome.

After handover

Go through the process map with the people doing the work daily. Correct missing exceptions before development. Your team can use the brief: it records tools, responsibilities and test cases.

After your enquiry

What we clarify next.

Ask about this service ↗

Describe a typical run: what triggers it, which programs are involved and when is it finished? An example without personal data is enough to begin.

Note exceptions, approximate frequency and the responsible person. Credentials, real customer messages and confidential documents do not belong in the enquiry form.

Terms used in this service

What does that mean?

Trigger
The event starting a process, such as a submitted enquiry. A schedule can also trigger regular data reconciliation.
Connector
A prepared connection to an application. Supported data and actions are checked specifically; an app name alone is insufficient.
Exception
A case that must not follow the normal processing rule. The workflow needs a visible return path or responsible reviewer for it.
Before your enquiry

Questions about the offer.

What is included, what do you need and what happens after your enquiry?

The process in detail →
Must we choose n8n, Zapier or Make first?

No. State existing accounts and contractual requirements. Tool selection is part of the assessment and follows required functions and planned operation.

Is later implementation included?

The assessment delivers the defined proposal. Setup, integration and testing of a running workflow belong to a separate implementation package.

Can we start with only a few cases?

Yes. With low volumes especially, we check whether a simple manual-process change is cheaper than additional automation.

How do you estimate possible time savings?

We use your case volumes and understandable time assumptions. Uncertain values are labelled as assumptions, not treated as measured economic success.

Do we need a mandatory workshop?

The process can be recorded in writing through examples and questions. If a short discussion would help, it remains voluntary and is agreed beforehand.

When does work begin?

We confirm the start and delivery deadline in writing after reviewing your documents. The agreed scope and complete source data determine the schedule.

Which access is needed?

A regularly performed process and someone familiar with its exceptions Names of applications, approximate case volumes and current processing steps Credentials must not be included in the enquiry. Details are agreed only after written commissioning.

What happens after handover?

One written follow-up round is included. The service scope lists the analyses, designs or technical changes covered by the package. We agree additional work with you before it begins.
